Terms of use

Last updated: October 13, 2026

This is a translation provided for convenience. If there is any conflict, the Portuguese version prevails.

These Terms of use govern access to and use of Hey Otlet, an AI-powered knowledge base platform that answers questions from each company's documents and shows the sources. Please read them carefully: by creating an account, accepting an invitation or using the platform or the API, you confirm that you have read and agree to these Terms, the Privacy policy and the Conduct and acceptable use policy.

1. Who we are

Hey Otlet is provided by Wayder Tech (J W DUTRA AREBA - TECNOLOGIA), a Brazilian company registered under CNPJ 41.388.294/0001-58, headquartered at Avenida Presidente Kubitscheck, nº 1155, Quadra 20, Lote 01, Sala 04, Jardim Presidente, Goiânia/GO, Brazil, ZIP 74.353-250 (“Hey Otlet”, “we”). Contact: contato@heyotlet.com.

2. Definitions

  • Platform: the heyotlet.com website, the application at app.heyotlet.com, the API and other services related to Hey Otlet.
  • Customer: the company or organization that subscribes to Hey Otlet and creates a workspace on the Platform.
  • User: a person who accesses the Platform on behalf of a Customer, invited by an administrator.
  • Administrator: a User allowed to manage the Customer's workspace, such as people, groups, collections, memories, AI providers and API keys.
  • Customer Content: documents, metadata, attachments, questions, answers, ratings, memories, instructions and any other data submitted or generated in the Customer's workspace.
  • Answer: text generated by the Platform's artificial intelligence from Customer Content.

3. Accounts and access

  • Access is granted by invitation from a Customer Administrator. Administrators decide who joins, the groups and the collections each group can ask.
  • You must keep your account details accurate, keep your password confidential and tell us immediately about any unauthorized use of your account.
  • You may only use the Platform with authorization from the Customer you belong to and within the permissions you were granted.
  • The Customer is responsible for the actions of its Users and for the API keys created in its workspace.
  • The Platform is intended for professional use and must not be used by anyone under 18.

4. The service

Hey Otlet lets you upload documents, organize them in collections with metadata, ask questions in natural language and receive answers that show the passages used as sources. It also offers answer ratings, memories, usage and quality dashboards, group-based access control, choice of AI providers and models, and an API.

We may evolve, change or discontinue features to improve the service, for security reasons or when required by law. Features labeled beta or experimental may have limitations and change without notice.

5. Customer Content

  • Customer Content belongs to the Customer. We acquire no ownership rights over it.
  • The Customer grants us a limited, non-exclusive license, restricted to the term of the agreement, to store, process, index, transmit and display Customer Content only as needed to provide the service, keep it secure and comply with the law.
  • The Customer represents that it holds the rights and authorizations needed to submit Customer Content, including a legal basis for any personal data it contains.
  • We do not use Customer Content to train artificial intelligence models, ours or anyone else's.
  • The Customer can delete documents, memories and conversations at any time on the Platform. Deletion removes the content from the knowledge base used in answers.

6. Artificial intelligence and answers

  • Answers are generated by artificial intelligence models from Customer Content. The Platform is built to answer only from that content and to show its sources, but AI models are probabilistic and may produce incomplete, inaccurate or outdated answers.
  • Answer quality depends on the quality, freshness and organization of the documents the Customer uploads.
  • Check the sources before making decisions. Answers do not replace legal, medical, financial, accounting or other licensed professional advice. High-impact decisions must involve human review.
  • The Customer may choose the AI provider and model and, when available, use API keys from its own account with those providers. In that case, use is also subject to the chosen provider's terms, and the costs charged by the provider are the Customer's responsibility.
  • If the Customer's keys fail, the Platform may use the AI contracted by Hey Otlet so the question still gets an answer, under the conditions set in the agreement.

7. Acceptable use

Use of the Platform must follow the Conduct and acceptable use policy, which is part of these Terms. In short, you may not use Hey Otlet for illegal activities, upload content you have no right to use, try to access other customers' data, bypass security mechanisms or overload the Platform.

8. API and integrations

  • API keys give access to the Customer's workspace within the permissions chosen when they were created. Treat them like passwords: do not publish or share them, and revoke any exposed key immediately.
  • We may apply usage, volume and rate limits to protect the Platform's stability.
  • Third-party integrations and services connected by the Customer are governed by those third parties' terms and policies.

9. Intellectual property

The Platform, software, Hey Otlet brand, design, documentation and other elements of the service belong to Wayder Tech or its licensors. These Terms do not transfer any of those rights, except the right to use the Platform during the subscription. You may not copy, modify, reverse engineer or build competing services from the Platform, except where the law expressly allows it.

Suggestions and feedback you send us about the product may be used to improve it, with no obligation to compensate you.

10. Subscription, fees and payment

Fees, usage limits, terms and payment conditions are set in the commercial proposal or agreement signed with each Customer, according to each company's size and usage. In case of conflict, the specific agreement prevails over these Terms.

11. Availability and support

We work to keep the Platform available and secure, but we do not guarantee uninterrupted or error-free operation. There may be scheduled maintenance, which we try to perform during low-usage hours, and outages caused by third parties such as cloud and AI providers. Support channels and hours are shown on the Platform.

12. Suspension and termination

  • We may suspend or limit access for non-payment, breach of these Terms or the Conduct policy, risk to the security of the Platform or other customers, or legal order.
  • The Customer may end its use under the conditions of its agreement.
  • After termination, the Customer may request a copy of the documents it uploaded within 30 days. After that, Customer Content is deleted within 90 days, except what we must keep to comply with legal obligations.

13. Limitation of liability

To the maximum extent permitted by law, Hey Otlet is not liable for indirect damages, lost profits, lost opportunities or decisions made solely on the basis of Answers without checking the sources. We are also not liable for failures caused by Customer Content, use contrary to these Terms or third-party services chosen by the Customer. Where liability exists, it is limited to the amount paid by the Customer in the 12 months before the event, unless the agreement or the law provides otherwise.

14. Confidentiality

We treat Customer Content as confidential. Access by our team is restricted to what is needed to provide the service, give support when requested, keep the Platform secure or comply with the law.

15. Personal data protection

Personal data is processed under Brazil's General Data Protection Law (Law 13,709/2018, “LGPD”) as described in the Privacy policy. For personal data contained in Customer Content, the Customer is the controller and Hey Otlet acts as processor, following the Customer's instructions.

16. Changes to these Terms

We may update these Terms to reflect changes in the service or the law. For relevant changes, we will give reasonable notice on the Platform or by email. The date of the last update is always shown at the top of this page.

17. Governing law and jurisdiction

These Terms are governed by the laws of the Federative Republic of Brazil. The courts of Goiânia/GO, Brazil, have jurisdiction over any dispute related to them, unless the law sets a different venue.
