Conduct and acceptable use policy

This Policy sets out what is and is not allowed when using Hey Otlet. It applies to all customer companies, Users and API integrations and is part of the Terms of use. The goal is simple: keep the Platform safe, lawful and trustworthy for everyone.

1. Principles

  • Use Hey Otlet to organize and search your company's legitimate knowledge.
  • Upload only content you have the right to use and share.
  • Respect the permissions set by administrators and people's privacy.
  • Check the sources before acting on an answer.

2. Content you may not upload

  • Illegal content or content that promotes crime, violence, terrorism or hate.
  • Child sexual abuse or exploitation material, in any form.
  • Content that infringes copyrights, trademarks, trade secrets or other third-party rights without authorization.
  • Personal data obtained unlawfully or processed without a legal basis, including sensitive data without need and legal grounds.
  • Confidential third-party information you are not authorized to share.
  • Files containing viruses, malware or any malicious code.

3. Prohibited uses

  • Committing or facilitating fraud, scams, impersonation or any illegal activity.
  • Harassing, discriminating against, defaming or threatening people.
  • Generating or distributing spam, disinformation or misleading content presented as true.
  • Using Platform answers as the sole basis for automated decisions that affect people's rights, such as credit, employment, health or access to services, without human review.
  • Presenting AI answers as professional advice (legal, medical, financial or accounting) without review by a licensed professional.
  • Reselling, sublicensing or making the Platform available to third parties beyond what was contracted.

4. Platform security

  • Do not try to access other companies' or Users' accounts, data or workspaces.
  • Do not try to bypass authentication, group permissions, usage limits or other protection mechanisms.
  • Do not run penetration tests, scans or denial-of-service attacks against the Platform without written authorization.
  • Do not reverse engineer, extract the Platform's code or models, or copy it to build a competing service.
  • Do not try to manipulate the assistant into revealing internal instructions, bypassing rules or accessing content beyond your permissions.
  • Do not share passwords or API keys. Revoke any exposed key immediately.
  • Use the API within volume and rate limits and do not automate access in ways that overload the Platform.

5. Responsible use of AI

  • Answers are generated from your company's documents and show their sources. Even so, they may contain errors: check the original passage before using an answer in important decisions.
  • Keep the knowledge base up to date and delete documents that no longer apply, so the assistant does not rely on outdated information.
  • When rating answers and creating memories, write guidance that is true and useful for the whole team. Do not use ratings or memories to insert false or discriminatory information.

6. How to report

If you find content or use that violates this Policy, or a possible security issue, write to contato@heyotlet.com with as much detail as possible. Reports made in good faith never lead to retaliation. Please report vulnerabilities to us before any public disclosure so we can fix them.

7. Consequences

Depending on the severity, we may remove content, revoke API keys, limit or suspend access for Users or the customer company, terminate the subscription and notify the competent authorities. Whenever possible and permitted by law, we will notify the customer company before acting.

8. Changes

We may update this Policy to address new risks, features or legal requirements. The date of the last update is always shown at the top of this page.
